Service Coordinator

Job Description

As Service Coordinator, your primary responsibility will be to invoice customers for completed service technician work. The Service Coordinator will split responsibilities with other department coordinators. This role will focus on specialty accounts, customer portal billing, and maintenance billing. Must be done according to procedure, in a timely manner.

Duties and Responsibilities
  • Invoice completed work orders for external and internal work completed
  • Field and shop external billing, internal billing for rental service work. Includes service calls, quoted jobs, and maintenance.
  • Batch invoice contracted full maintenance accounts on weekly and monthly basis.
  • Manage customer invoicing requirements; update and maintain log of remittance email addresses and contacts, as well as customers that require use of third party vendor portals.
  • Answer phones – transfer calls and take messages accordingly.
  • File hard copy paperwork in proper locations.
  • Open work orders for service calls according to procedure.
  • Post technician time on appropriate work orders.
  • Manage report detailing status of jobs for customer owned equipment in shop.
  • Prepare paperwork for inbound and outbound shop work.
  • Transfer parts and labor on work orders according to procedures.
  • Scrutinize parts and labor on each work order prior to invoice.
  • Type technician notes on appropriate work orders.
  • Make collection calls and follow up with customers on completed work.
  • Process credit card statements for road technicians.
  • Issue purchase orders for sublet labor.
  • Cross train responsibilities with other billing administrators.
Qualifications
  • High school diploma or equivalent required.
  • Proficiency with Microsoft Office (Outlook, Excel, Word), and ERP systems preferred
  • Relevant work experience preferred but not required.
  • Candidates must be organized and comfortable on the phone.
Schedule
  • Full-time
  • 8 hour shift, Monday through Friday 
Work Environment
  • This job operates in a professional office environment that is temperature controlled. This role routinely uses standard office equipment such as computers, phones, copiers, filing cabinets, and fax machines.
  • Ability to work under pressure and meet deadlines
Physical Requirements
  • The position is office based; some walking will be required.
Compensation 
  • The hourly rate range is from $21.00 – $24.00 depending on level of experience.
